Office Secretary Grade N5, N6, N7 responsible for ensuring that daily affairs at the office of a Supreme Court Judge/officers of the Top Management Group/ officers of the Management and Professional Group (who meet the qualifications) run smoothly, and for providing secretarial services such as typing, preparation of correspondence, reports, and file management. In addition, ensures that all official requirements of the Supreme Court Judge/officers of the Top Management Group/ officers of the Management and Professional Group (who meet the qualifications) are handled efficiently and to a high standard of quality, and supervises work schedules to ensure proper organisation.
Tasks
Managing correspondence and filing, including recording, filing, classifying (open/confidential/secret), and distributing documents to relevant officers.
Following up on letters, documents, e-mails, and minutes, including sending faxes and updating data/information.
Preparing, typing, and reviewing draft letters/documents, managing documents requiring signatures, and prioritising officers’ tasks.
Maintaining the confidentiality of documents, records, and the affairs of Supreme Court Judge/officers of the Top Management Group/ officers of the Management and Professional Group.
Managing bills, travel claims, advance applications, medical bills, telephone bills, and preparing budget estimates and procurement.
Preparing, storing, and providing corporate information and general advisory services to clients.
Providing guidance, support, and supervision to new secretaries and Industrial Training students.
Performing other duties as directed, providing support in all activities of the division/branch/sector, and supervising the daily tasks of officers’ Special Drivers.
Skills
