Engineering/Maintenance/Technical Support Clerk provides administrative and clerical support to engineering, maintenance and technical functions by managing technical documentation, maintaining records of equipment, tools and facilities, and tracking maintenance schedules and work orders. They coordinate communication between engineers, maintenance personnel, production units and external service providers, and assist in preparing reports and processing documentation related to repairs, preventive maintenance and procurement.
Tasks
Maintain, organise, and update engineering, maintenance, and technical documentation, including technical drawings, standard operating procedures (SOPs), work orders, and maintenance reports.
Enter, update, and manage maintenance, equipment, tools, and facility data accurately in spreadsheets, Enterprise Resource Planning (ERP) systems, and internal databases.
Prepare, schedule, track, and coordinate maintenance activities, work orders, tooling, and equipment usage, ensuring deadlines and compliance with safety and operational procedures.
Coordinate communication and information flow between engineering, maintenance, production, quality assurance, and external service providers.
Monitor and maintain inventory records for materials, tools, equipment, and supplies, and support ordering and procurement documentation.
Support departmental equipment maintenance and preventive maintenance programmes.

Basic
Ability to follow standard procedures accurately, prioritise tasks, and apply basic problem-solving and critical thinking in routine support work.
Ability to use Microsoft Office applications (e.g. Excel, Word, PowerPoint, Outlook) for data entry, record-keeping and communication.
Effective verbal and written communication skills to liaise with technical staff, internal teams and external parties, with basic understanding of technical terms.
High attention to detail and accuracy in handling data, records, reports and compliance documentation.
Strong organisational and time management skills to manage multiple tasks, schedules, inventory and documentation.
Specific
Ability to coordinate communication between technical and non-technical teams.
Ability to prepare technical reports and operational documents accurately and confidentially.
Ability to read and interpret technical manuals, engineering drawings, and tool specifications.
Basic knowledge of maintenance procedures for machinery, tools, and facility systems.
Basic proficiency in technical document management systems and related software.
Basic troubleshooting skills for equipment and office systems.
Competency in record keeping, data entry, inventory control, and procurement documentation for equipment, tools, and maintenance supplies.
Proficiency in using Enterprise Resource Planning (ERP) and Computerised Maintenance Management System (CMMS) software.
